Terms of Service
CANCELLATION POLICY
A minimum 24-hour notice is required to cancel or reschedule any training session from Monday through Friday, and for Saturday sessions before 1:00 PM. (Sundays are not considered business days.)
No-shows, last-minute cancellations, or last-minute reschedules will be charged in full. The session will not be credited, rescheduled, or transferred.
Exceptions may be made for emergencies and are handled on a case-by-case basis at the discretion of Proving Grounds Fitness. Clients who provide proper notice—or are granted an exception—may reschedule their session within the applicable timeframe.
If you’re unable to attend, it is your responsibility to notify your coach directly by phone, voicemail, or email. If you arrive late, your session will still end at the originally scheduled time to respect the coach’s schedule.
SESSIONS ARE NON-TRANSFERABLE
All training packages are intended for individual use only. They are non-transferable, non-refundable, and must be used within the specified time period stated at the time of purchase.
Proving Grounds Fitness reserves the right to deny training credits or extensions beyond the agreed period. Clients are encouraged to schedule sessions proactively to stay on track.
DROP-IN SESSIONS
Clients choosing to “drop in” rather than commit to a package must provide valid payment information before training. You will be billed in the month following your drop-in session.
ASSUMPTION OF RISK & LIABILITY WAIVER
By participating in any training, programs, or services offered by Proving Grounds Fitness, the client acknowledges and agrees to the following:
Proving Grounds Fitness and its coaches are not liable for any injuries, accidents, health issues, or damages that may occur before, during, or after any workout or training session.
The client understands that physical training involves inherent risks, including but not limited to strains, sprains, or more serious injuries, and assumes full responsibility for any such risks.
The client confirms that they have obtained medical clearance from a licensed physician and are physically and medically fit to participate in exercise and training programs.
The client agrees to notify their coach of any pre-existing medical conditions, injuries, or limitations prior to participating in any session.
By continuing with training services, the client accepts full responsibility for their participation and agrees to release and hold harmless Proving Grounds Fitness, its staff, and affiliates from any and all liability.

Proving Grounds Fitness is committed to maintaining trust and protecting the privacy of all clients, staff, and partners. We adhere to applicable data privacy laws and handle personal information with care and discretion.
DEFINITIONS
Business contact information: Name, title, work address, work phone/email—used solely for communication.
Personal information: Any identifiable personal data not related to business functions.
Employee personal information: Data required to manage the employment relationship.
Work product information: Data created in the course of business or employment responsibilities.
INFORMATION PURPOSE & CONSENT
We collect personal information only for internal use—to serve clients and update them on services or promotions.
Consent is required to collect, use, or disclose this information unless otherwise permitted by law. Clients may withdraw consent at any time with reasonable notice. Withdrawal may affect service delivery.
COLLECTION & ACCURACY
We only collect personal information needed for legitimate business purposes. Collection is done directly from the individual whenever possible, using lawful and respectful means.
Proving Grounds Fitness will make reasonable efforts to ensure all personal information is accurate. Clients may request corrections at any time.
SAFEGUARDING YOUR INFORMATION
We protect your data with appropriate safeguards against unauthorized access, disclosure, or misuse. Security measures are based on the sensitivity and format of the information collected.
ACCESS TO PERSONAL INFORMATION
Upon written request, we will provide access to any personal information we have about you within 30 days. If access is denied, we will provide the reason and your options for further steps. A reasonable administrative fee may apply for access requests.
